Terms of Use

Last updated October 27, 2026. These terms cover this website and the free E/M level calculator. Customers who code encounters with us are covered by their own agreement and Business Associate Agreement.

1. Using the free calculator

The free E/M level calculator suggests the office or outpatient E/M level that the documentation in a progress note supports. It is offered for education and coding decision support.

  • De-identified notes only. The free calculator is not covered by a Business Associate Agreement. You must remove the patient's identifiers before you paste a note, and you must not paste protected health information.
  • Your authority. You confirm you are allowed to use the documentation you paste.
  • One person, fair use. Accounts are for one person. Free calculations are limited per account and per network, and we may change or pause the free allowance at any time.

2. What the results are, and are not

A result is a recommendation based only on the documentation you provide. It is not medical, legal or billing advice and does not replace a qualified coder's judgment. You and your organization remain responsible for code selection, documentation and claim submission.

3. Things you may not do

  • Paste protected health information, or anything you are not allowed to share.
  • Use scripts, bots or automated tools to submit notes, or try to get around sign-in, limits or security checks.
  • Submit instructions meant to manipulate the calculator, or content that is not a clinical note.
  • Copy, resell or build a competing service from the calculator or its results, or probe, scan or disrupt our systems.

We may refuse a submission, pause free use, or close an account that breaks these terms.

4. Your data

How we handle notes, results and account details is set out in the Privacy notice. In short: notes showing common identifiers are refused, the note text is deleted when its calculation finishes, results are deleted after 30 days, and nothing is sold, used for advertising or used to train any system.

5. Intellectual property

The website, the calculator and their content belong to Medicodex. CPT® is a registered trademark of the American Medical Association; code numbers are shown for reference, and our explanations are our own words. eClinicalWorks® is a trademark of its owner.

6. No warranty

The website and the free calculator are provided as they are, without any warranty, to the extent the law allows. We work to keep them accurate and available, but we do not promise that results are free of errors or that the service is always available.

7. Changes

We may update these terms. The date at the top shows the latest version, and the calculator asks you to accept new terms before you use it again.
